A traveler at airport security was frantically scrolling through email for a boarding pass PDF. She had it somewhere. In a confirmation email. Or was it the follow-up email? Or the one from the airline directly? She found it 45 seconds later, but those 45 seconds with a line of impatient people behind her felt like an eternity.

Travel still generates paper. Digital paper, mostly, but paper nonetheless. Boarding passes, hotel confirmations, visa documents, travel insurance certificates, car rental agreements, vaccination records. Each document lives in a different email, a different app, or a different screenshot folder. Aggregating them into one accessible place is not glamorous product work. It is deeply practical product work.

Our document management supports the full range of travel paperwork. Boarding passes with QR codes. Hotel confirmation letters with check-in instructions. Visa approvals with validity dates. Travel insurance policies with coverage details. Receipts for expense tracking.

When a traveler uploads a document, the system automatically detects its type and extracts key information. A boarding pass yields the flight number, departure time, gate, and seat assignment. A hotel confirmation yields check-in and check-out dates, reservation number, and property address. This extraction runs asynchronously through a background worker, so the traveler does not wait for parsing to complete.

The extracted data links the document to the correct trip and booking in our system. A boarding pass for Flight TK1234 on March 20th automatically attaches to the trip containing that booking. The traveler does not need to manually organize documents. The system does it.

Secure storage

Documents contain sensitive personal information: passport numbers, booking references, QR codes that grant access to flights. Storage must be secure, globally distributed for fast access, and compliant with data protection requirements.

We store documents on a globally distributed cloud storage platform with encryption at rest. Metadata is encrypted in the database. Access is authenticated and authorized: only the traveler who uploaded the document can retrieve it. There are no shared folders, no public links, no access without a valid session.

The airport experience

The measure of document management success is the airport security line. Can the traveler pull up their boarding pass in under three seconds? Can they do it offline? Can they do it with one hand while holding their passport?

We optimized the document access path for this scenario. The Documents tab in the trip detail shows documents sorted by relevance to the current moment. If the traveler has a flight today, the boarding pass for that flight appears first. A future hotel confirmation appears below it.

The iOS widget integration enables boarding pass access from the home screen without opening the app. Offline caching ensures documents are available even in airplane mode. The design is deliberately simple: large tap targets, minimal navigation, and the QR code prominent enough to scan from the lock screen.

Document management is not the feature that gets people excited about the product. Nobody downloads a travel app because of document storage. But it is the feature that keeps travelers using the app throughout their trip, not just during booking. And a traveler who opens the app daily during their trip is a traveler who will use the agent again for their next trip.
